At Cheeky Minds, we love taking our little explorers on fun adventures! Our outings are designed to be safe, educational, and full of excitement.
Scope
This policy applies to all staff, volunteers, and participants involved in any off-site activity, excursion, or field trip organized by [Organization Name].
Definitions
Outing/Excursion: Any activity where participants leave the premises of Cheeky Minds under supervision for educational, recreational, or social purposes.
Staff/Volunteer: Any individual responsible for supervising participants during the outing.
Participant: Any child, youth, or individual attending the outing.
Planning and Approval
All outings must be approved by the Childminder prior to departure.
Risk assessments must be conducted for each outing, including consideration of transportation, activities, and site safety.
Written parental/guardian consent must be obtained for all participants under 18 years of age.
Emergency contact information for all participants must be collected before the outing.
Staffing and Supervision
Adequate staff-to-participant ratios must be maintained at all times, following [local regulations/organization standards].
Staff must be familiar with the outing location and potential risks.
A designated staff member will carry a mobile phone and first aid kit.
Staff should maintain a headcount at all times, including during transitions and activities.
Transportation
Only approved vehicles and licensed drivers may be used for transportation.

Participant Guidelines

Any medication or health requirements must be communicated to staff before the outing.
Communication
Staff must provide participants and guardians with clear information about the outing, including time, location, activities, and any special requirements.
Staff must notify guardians promptly of any delays, emergencies, or changes in plans.
Evaluation and Feedback
After each outing, staff should review the event for safety, organization, and participant engagement.
Feedback from staff, participants, and guardians should be collected to improve future outings.
Non-Compliance
Failure to adhere to this policy may result in disciplinary action, up to and including suspension of staff or exclusion of participants from future outings.
Policy Review: This policy will be reviewed annually or as required by changes in regulations or organizational practices.
